For one of our clients, a financial services company based in Zug, we are looking for a reliable and detail-oriented

Junior Administrative Assistant (Operations & Administration)

on a part-time basis (approx. 20 hours per week)

Your Responsibilities:

  • Handling incoming and outgoing correspondence and documentation
  • Written communication with clients, lawyers, tax advisors, banks, and other counterparties
  • Preparing and completing standard forms and applications, including banking and KYC documentation
  • Collecting input data and completing budgets and financial reports based on templates
  • Preparing reporting materials for clients
  • Requesting accounting and related documentation from clients and ensuring completeness and deadlines
  • Structuring and transferring information to accountants and tax advisors
  • Researching, verifying, and structuring information; preparing tables, summaries, and short analytical overviews
  • Maintaining and updating client tasks, tracking deadlines and statuses
  • Documenting agreements and results
  • Executing ad-hoc tasks and assignments from management, providing status updates
  • Preparing presentations, guidelines, and client instructions (an advantage)
  • Structuring and visually formatting information according to templates (an advantage)

Your Profile:

  • Fluent English, German, and Russian (written and spoken)
  • Previous experience as an office manager, administrative assistant, or assistant to an executive assistant
  • High attention to detail and accuracy
  • Strong business correspondence skills
  • Confident user of spreadsheets and document tools
  • Basic understanding of banking, financial, and accounting processes
  • Experience in preparing presentations
  • Independent, reliable, and well-organised working style
  • Valid work permit for Switzerland is required
